What you will be doing
This position is responsible for providing support to Head Office Staff, branches and the Executive. Perform a variety of clerical duties as assigned and prioritize workflow. Answer incoming calls and greet guests upon arrival.
RECEPTION/ADMIN ACTIVITIES
Answer reception switchboard direct calls appropriately.
Intake and transfer employee to employee calls and take messages if necessary.
First point of contact for visitors.
Keep reception area neat and tidy.
Receive incoming mail and coordinate distribution.
Send outgoing mail/invoices and prepare invoices for Accounts Receivable.
Order Office Supplies and janitorial supplies.
Book Flights as requested for Gerrie Staff and assist with travel arrangements.
Contact with services as required for repairs within the building.
Order lunches as required for meetings/ training etc.
Courier Special Documents.
Keep mailroom stocked and organized.
Accounts payable processing support.
Create Pro Forma Invoices upon request.
Line Cards/Gerrie Brochures – order and distribute to Gerrie Staff upon request.
Visa Credit Card – Keep copies of all purchase receipts for Company used Visa and account for all purchases.

What you bring to the table
High school diploma
2 years of experience in an office reception / admin role
Experience with Microsoft Office
Multi-tasking in a fast-paced environment
Organizational skills
Excellent communication skills
